Salary Range: ₦150,000 – ₦200,000/month

Job Summary

  • To serve as a Confidential Secretary and provide high-level administrative support to the Registrar/Chief Executive Officer.
  • As a Confidential Secretary, you will demonstrate technical skill, excellent writing and presentation skill, effective communication, research abilities, computer proficiency, high level of organizational detail, and the ability to maintain confidentiality.
  • The ideal candidate will be responsible for providing administrative support to the Registrar/Chief Executive Officer on a wide range of executive duties.

Responsibilities:

  • Perform general administrative tasks such as; managing correspondences, scheduling appointments, coordinating meetings, preparing agendas, taking minutes, and maintaining calendars for the Registrar/Chief Executive Officer.
  • Manage and maintain sensitive and confidential information, ensuring it is handled securely and in compliance with the organization’s policies and procedures.
  • Make travel arrangements for the Registrar/Chief Executive Officer, including booking flights, accommodations, ground transportation, and preparing itineraries.
  • Draft, edit, and format various documents, including memos, letters, presentations, reports, and other materials as requested; and also ensure accuracy and adherence to company guidelines.
  • Screen and prioritize phone calls, emails, and other forms of communication for the Registrar/Chief Executive Officer, and handle inquiries, provide necessary information, and redirect or escalate as required.
  • Establish and maintain an efficient filing system, both physical and digital, for documents, reports, and other records. Also, to retrieve and distribute files as needed.
  • Conduct research and gather information on various topics and projects as assigned, summarize findings, and present them in a clear and concise manner.
  • Assist in coordinating special projects, events, or initiative, and collaborate with team members and external stakeholders to ensure successful execution.
  • Uphold strict confidentiality in dealing with sensitive information, including personnel matters, legal documents, financial data, contracts, and other proprietary information.
  • Efficiently manage multiple tasks and deadlines, ensuring that all assignments are completed accurately and timeously.

Qualifications:

  • First degree Business Administration, Law and any other related discipline.
  • Minimum of 7 to 10 years of cognate experience in secretarial or administrative roles.
  • Minimum of 5 years post call experience for Lawyers
  • Proven experience in research, analysis, and advisory on fundamental business matters.
  • Strong analytical and interpersonal skills, with the ability to communicate effectively with individuals at all levels of the organization.
  • Computer literate and tech savvy
  • Ability to use designing tools is an added advantage.
  • Proven ability to work effectively in a fast-paced, deadline-driven environment.
  • Ability to maintain confidentiality and handle sensitive matters with discretion.
  • Solid experience in Business Establishment, and Contract Management.
  • Advanced knowledge of Microsoft Office Suite (word, excel, PowerPoint, outlook) and other relevant software applications.
  • Excellent time management and organizational skills.
  • Demonstrated ability to work independently and take initiative to anticipate needs and solve problems.
