Executive/Personal Assistant – General Secretary at Bible Society of Nigeria

Key Responsibilities
The successful candidate will among others, do the following:

  • The Executive / Personal Assistant to the General Secretary is the secretary to the management and a recording secretary at NEC and Board meetings.
  • The job holder is responsible for the general administration of the office of the General Secretary; Process, manage and coordinate relevant documents, data/information and other resource tools relating to the activities of the GS office.
  • Prepare reports, presentations, and other materials as needed.
  • Manage the CEO’s schedule, including travel arrangements, logistics, and coordination of business trips of the GS and event planning.
  • The incumbent is responsible for the organization of the monthly Management Meeting, NEC Meeting and Annual Board Meeting
  • S/he also records proceedings of strategic sessions and prepares action plan for the year from these sessions.
  • S/he also collates relevant information for the annual report.
  • The Executive/Personal Assistant is responsible for safeguarding documents, materials, and equipment in the General Secretary’s office.
  • S/he ensures proper recording and handling of correspondences (letters, Memos, invoices etc.) in the office and also maintains proper filing system of documents.

Requirements

  • Must have a Higher National Diploma (HND) or Bachelor’s Degree in Secretarial Administration, Business Administration, or related field;
  • S/he must have a minimum of 5 years cognate experience.
  • Must be someone who is intelligent, fair, firm, highly confidential, assertive, levelheaded, able to work under pressure, disciplined, result-driven, and high quality orientation
  • Strong organisational and time-management skills; Excellent written and verbal communication skills; and ability to demonstrate high level of creativity and initiative at handling the dynamic demands of the job.
  • S/he must possess excellent administrative skill; Must be a team player; Good self-application; selfless, kind, and considerate; and Highest ethical standards.
  • S/he must possess excellent knowledge of English and at least one International Language; Business and its environment; non-governmental operations; and happenings in the UBS family.
