Female Executive Assistant to Top Management at Africa Access

The Executive Assistant to the top management provides high-level administrative support to the executive management team within an organization. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to handle sensitive and confidential information. The Executive Assistant serves as a primary point of contact for internal and external stakeholders and acts as a liaison between the management team and various departments.

Key Responsibilities:

  • Organizing and maintaining the management’s diary and making appointments and available time for on a daily/weekly basis to discuss issues and prioritizing the most sensitive matters.
  • Assisting the management in day-to-day tasks.
    Providing company secretarial services to the company and its affiliates.
  • Coordinate board meetings, management meetings, and other meetings of the company.
  • Issuance of notices and agenda of meetings.
  • Attending and taking minutes of board, management, and other meetings.
  • Preparing and circulating minutes to meeting attendees.
  • Ensuring safe keeping of the company’s physical and electronic legal documents.
  • Preparing resolutions in respect of board decisions as may be required from time to time, including written resolutions and extracts of resolutions passed.
  • Draft and track all action points from the Company’s meetings.
  • Drafting, reviewing, negotiating, and revising contracts, including non-disclosure agreements, confidentiality agreements, licensing agreements, settlement agreements, and purchase agreements.
  • Responsible for all C.A.C legal compliance issues, ensuring proper filing of annual returns and giving necessary notifications to the Corporate Affairs Commission and other regulatory authorities.
  • To anticipate and manage the (legal) risks connected with or resulting from the business strategies and operations.
  • Advising on general business law issues and managing the legal issues of all areas of the company, including but not limited to corporate matters, Land procurement matters, and safety, security, insurance, and sustainability issues.
  • Serve as custodian of all Company Service Level Agreements and other related documents.

Minimum Requirements

  • First degree in Law.
  • Member, Institute of Chartered Secretaries will be an advantage.
  • At least 3 years of post-call to bar working experience.
  • Seven (5) to ten (10) years’ experience as a company secretary, executive assistant/personal assistant with proven experience in providing company secretarial services and executive assistance to the topmost management.
  • Experience in drafting commercial agreements.
  • Excellent multi-tasking and ability to work in a fast-paced environment.
  • Excellent communication, time management and interpersonal skills.
  • Ability to cope with high levels of responsibility and with confidential matters.
  • Good understanding of the logistics/shipping space and applicable laws/regulations in Nigeria.
  • Strong research skills.
  • Proficient in Microsoft applications (Excel, Word, and Power point).
  • Good attention to details.
