Job Summary
Procurement administrators support their procurement teams by performing general administrative duties and ordering equipment and materials for their projects. Working in this position involves organizing and making purchase orders, keeping records updated, storing documents, and solving order issues.
Responsibilities
- Fulfilment of IT purchasing processes and procedures (Purchase-to-pay)
- Manage the purchase order process from start to finish for all responsible budgets and ensure correct process for accounting procedures (Prepay, Check Requests, vouchers)
- Enter supplier response details in system/Excel Reports
- Adhere to company’s procurement policies and procedures
- Must be experienced in performing pre- and post-award reviews of subcontracts and purchase order files to insure compliance with applicable laws, regulations and procedures
- Recommends improvements in workflow, procedures, and documentation as it relates to the procurement systems and administration.
- Manage office supplies stock and place orders
- Prepare regular reports on expenses and office budgets
- Maintain and update company databases
- Organize a filing system for important and confidential company documents
- Distribute and store correspondence (e.g. letters, emails and packages)
- Prepare reports and presentations with statistical data, as assigned
- Schedule in-house and external events
Requirements and skills
- Proven working experience as procurement administrator
- Advanced computer skills on MS Office and assets tracking
- Professional certificate is an added advantage
- High attention to detail and excellent analytical skills
- Sound independent judgement
- Bachelor’s degree/HND in Business Administration or any related field.
